Register to Vote as an OSCF Member Club

At the OSCF Championship each year the Board convenes a Member's meeting. In odd years the meeting consists of a president's message and informal discussion with Q&A. Formal votes may be conducted later via email or at the following year's meet. In even years, the board calls for a vote on several items related to organizational structure, board members, and more. The OSCF is an open-membership organization and we strongly encourage you to get involved in a relatively small way by establishing a Voting Membership and attending the meeting. Your kids need your active input.

Please take the time get involved! You can start by reading the simple policies and procedures, below. Voting Member Clubs will receive a meeting agenda, any ballot measures we're considering for the next meeting. The OSCF Board reserves the right/responsiblity to clarify or adjust ballot measures for clarity, intent, and fairness.

Who/What is a "Voting Member"?
From the OSCF bylaws: Membership of the OSCF shall be comprised of recognized scholastic chess clubs as determined by the OSCF Board, using guidelines established by the Board and approved by the membership. Each club has one voting representative. Each representative may vote for only one club. Note that, technically, the CLUB is the member and an adult is the voting representative.

Which Clubs are Eligible as "recognized scholastic chess clubs"?

  1. Any scholastic chess club that meets with some regularity at a state-registered public or private school in Oregon. If students from several schools gather regularly, we consider that a single club with one vote.
  2. Home school chess clubs that meet regularly and represent a particular geographic area or are sponsored by a Home School Association (HSA). The majority of the players must be residents of Oregon.
  3. Private chess schools, based in Oregon, that sponsor scholastic players from mixed schools/homeschoolers -- in non-school-based clubs, classes, and/or camps -- are eligible for a single vote. The majority of the school's students must be from Oregon.

How to Register as a Voting Member Club:
  1. If you haven't already, create a log-in email and password at www.oscf.org. If you have, simply log into the site.
  2. List your club on the OSCF web site, under "View/Register Clubs." Note that only those Oregon-based clubs listed on the web site will be considered a "Voting Member Club." If your club is already listed, you do not have to do anything extra.
  3. Let the parents/coaches of the club know that you've registered and ask the group to select an adult representative.

How to Vote
Send an adult representative to vote on behalf of your club at the meeting during the OSCF State Championship. That representative should also join the OSCF Yahoo group for notices of votes between in-person meetings. For formal, in-person meetings (even numbered years at the state championship) we will distribute voting cards and conduct the meeting mid-morning. Make sure the parents from your club know who the voting representative is so that they can share their opionions and input. NOTE: The person who lists the club on the web site does *not* have to be the voting representative.
